Front Desk Receptionist/Switchboard Operator

The receptionist should be professional with a friendly attitude and the ability to multitask to serve as our company’s front desk receptionist.  In this position, you will greet guests entering the building and help direct them where they need to go.  In addition, you’ll be responsible for answering and managing the switchboard.  We are a large company with multiple offices in the building and Group Entities, and the job can be fast paced with little downtime.  We pride ourselves on providing a safe and welcoming atmosphere.

General:

  • Excellent time management skills and ensure to adhere to times stipulated on the Employee contract
  • Ensure you are neat and tidy and conduct yourself in a professional manner with all stakeholders
  • Adhere to all policies set out by the company and follow all processes and procedures of the company
  • Must have excellent communication skills, problem solving skills and conflict management skills
  • Ensure record keeping of all key documents and ensure paper trail is always maintained
  • Ensure the working area is net, tidy and safe always
  • Must always conduct yourself in a professional manner
  • Refrain from gossiping, always

Tasks and Responsibilities:

  • Screening all calls for Directors, HR and Managers
  • Ensure to always stand up when a customer or Supplier enters Reception
  • Manning the switchboard at all times
  • Receiving visitors at the front desk by greeting, welcoming, directing them to colleagues
  • HR Scanning to be done daily
  • Ensure your daily morning mail is sent by 8:30
  • Ensure the coffee machine is always full and clean
  • Weekly stock count of the coffee and cutlery
  • Scan QC check sheets daily
  • Employee confirmation
  • Ensure to report any faulty equipment to Health & Safety
  • Liaise with security and HR before any employee is allowed to see HR or Payroll (daily employee queries at 12:30 or every second Friday at 12:30)
  • Ordering of consumables and stationery
  • Capturing driver loads
  • Daily housekeeping checks
  • Ensure your reception area is always neat & tidy & presentable
  • Ensure to always get all the relevant information from an employee before contact HR or Payroll

This position will report directly to the HR Manager
